ServiceM8 Cost When You Add Office Staff Seats
Work out what a second, third or eighth office login costs on ServiceM8: seat fees are $0, so the real driver is your monthly job count.
Adding a second office user to ServiceM8 costs $0 in seat fees. Every paid tier on the ServiceM8 US pricing page lists Unlimited Users, and the vendor states plainly that it does not charge per user. The one exception is the Free plan, which is capped at 1 user, so a solo operator hiring an office admin jumps from $0 to $29 per month.

What are the assumptions behind these numbers?
Everything below is computed from the published US monthly prices on 3 September 2026. The assumptions:

- Prices are the standard monthly rates in USD. No annual discount is published, so twelve-month figures are simply the monthly price times twelve.
- “Users” means staff logins. ServiceM8 does not split office and field seats, so an admin login and an electrician login count the same, which is to say they cost nothing extra.
- A “job” is a new job created in that month, not an invoice or a visit. Existing jobs carried over are not stated to consume credits.
- Add-on prices used are the published $19/mo for Auto Time Tracking and $19/mo for Bundles. Auto Time Tracking is listed as “From $19/mo” on the comparison grid, so treat $19 as a floor.
- SMS is free on all four paid plans and 10c per message on Free.
What does each extra user actually cost per month?
Nothing. The table divides the flat plan price by headcount, which is the only thing that changes.

Working, one line: $29 ÷ 8 users = $3.625, rounded to $3.63. The invoice line never moves; only the divisor does.
The practical read for an electrical contractor with two vans and one person on the phones: four logins on Growing is $19.75 per head. The same four logins on a per-seat product priced at, say, $49 per seat would be $196. That gap is the whole argument for ServiceM8’s model, and it widens with every hire.
What actually moves the bill, if not seats?
Job volume. Each plan includes a fixed number of new jobs per month. Below is the cost per included job at the full cap, which is the cheapest that plan can ever get.

This is the cross-condition table. Rows are actual jobs created per month; columns are plans. A plan is unusable below its cap line, marked “over cap”. Figures are cost per job at that real volume.

Working for the last row: 1800 − 1500 = 300 extra jobs × $0.20 = $60. $349 + $60 = $409. $409 ÷ 1800 = $0.2272.
Note what this shows: your cost per job gets worse immediately after each upgrade and improves as you fill the new cap. At 80 jobs you pay 98.8c per job on Growing. At 150 you pay 52.7c for the same $79. The upgrade points, 51, 151 and 501 jobs, are the expensive months.
What is the reverse calculation: how many jobs justify each tier?
Instead of asking what a plan costs, ask what volume you need before a higher plan is cheaper per job than the one below it at full stretch.

The marginal rate settles at exactly 20c per job from job 151 upward. That is a useful planning figure: at 20c a job, a contractor billing $300 average per electrical service call is paying roughly 0.07% of revenue in job credits.
What do the add-ons do to the per-user maths?
Two add-ons carry published prices: Auto Time Tracking at $19/mo and Bundles at $19/mo, with Bundles listed as available in Growing and up. Both are business-wide prices, not per user, so they behave like the base plan.

Auto Time Tracking at $19 is the add-on most affected by headcount, because it is GPS clock-on and off for every staff member at one flat price. At 8 field staff that is $2.38 per person per month.
Two things contractors get wrong about this pricing
Misconception one: “the office admin needs their own paid seat.” They do not. ServiceM8’s FAQ states it does not charge per user and that only the Free plan limits user count. A three-van electrical shop with three electricians, one estimator and one bookkeeper, five logins, pays the same $79 on Growing as a sole trader on Growing pays. The per-head figure moves from $79.00 to $15.80 and the invoice does not move at all.
Misconception two: “I need a higher plan because I hired people.” Plan tiers are gated on new jobs per month, not staff. Hiring a second electrician who does not increase job volume changes nothing. Hiring one who takes you from 140 to 170 jobs a month does: that is the Growing to Premium step, $70 more per month, $840 a year, triggered by 20 extra jobs. The extra jobs cost $3.50 each in that first partial year, not 20c, because you bought 350 slots and used 20.
A third worth flagging: “Free is fine for two of us.” Free is 1 user and 30 jobs. It also charges 10c per SMS where every paid plan lists SMS as free. At 200 job-notification texts a month that is $20 on Free against $0 on Starter, so the $29 plan can be $9 more expensive in practice, not $29.
What could not be verified today
- ServiceM8 Phone price. The page describes it as “a single, affordable monthly price for your business” with no per-user fees, but no dollar figure is published. It cannot go in any table.
- Free trial length for ServiceM8 Phone. The page states both “1-month Free Trial” and “3-month Free Trial” in different blocks. Contradictory, so no figure is used.
- SMS caps and the SMS overage rate on paid plans. The FAQ refers to “a standard SMS ‘overage’ fee per SMS sent over your plan’s monthly SMS cap” and points to the comparison table, but the comparison table shows only “Free” for paid plans with no cap number and no overage rate. Only the Free plan’s 10c per SMS is verifiable.
- Overage rates below Premium Plus. Starter, Growing and Premium show a dash for Additional Jobs. That is absence of a published rate, not a rate of zero.
- Prior-year prices. No historical pricing is published on the page, so no year-over-year change can be calculated. Treat every figure here as a 3 September 2026 snapshot.
- Payment processing fees. Mobile payments are listed as an included essential, but no processing rate is published, so no fee-on-volume table can be built.
- Form Store prices. Over 250 pre-made forms are described as purchasable on all plans, including Free, with no prices given.
When is this estimate wrong?
- You use Forms heavily and need custom ones. Buying pre-made forms is available on every plan, but building your own or hiring a partner to build them requires Growing or higher. That forces $79/mo on a shop doing 40 jobs a month, where volume alone said $29. The per-user table still holds; the plan row changes.
- Your job count is seasonal. These tables assume a steady month. An electrical contractor at 120 jobs in February and 260 in July cannot average to 190. ServiceM8 states credits reset when the plan resets, so the July spike forces a Premium month. There is no published mechanism for banking unused February credits.
- You are outside the US. The page states prices are in USD on the US pricing page. Regional pricing is not covered here.
- You unlock upgrades through the Learning Roadmap. ServiceM8 states higher job and SMS limits, plan upgrades and higher-tier add-ons can be earned that way. Any earned upgrade breaks the cost-per-job arithmetic in your favour, and no value is published for it.
- Mid-month plan changes. ServiceM8 states there are no lock-ins and that credit from a previous plan is applied pro rata. A month where you switch plans will not match the flat figures above.
What should you check before you subscribe?
- Count your new jobs for the last three months, not your invoices or your visits. That single number picks your tier. If any month exceeded 150, budget Premium at $149, not Growing at $79.
- Confirm the ServiceM8 Phone price directly with the vendor. It is described as unlimited-user and flat-rate but carries no published figure, and the trial length is stated two different ways on the same page.
- Ask what the SMS cap and per-message overage are on your intended plan. “Free” in the comparison table plus an FAQ describing an overage fee means there is a cap that is not published.
- Decide on Auto Time Tracking before you compare against per-seat rivals. At $19/mo flat it barely registers at 8 staff, $2.38 each, but it is a 66% uplift on a $29 Starter plan for a two-person shop.
- If you are on Free, work out your SMS volume. At 10c a message on Free against free on paid, 290 messages a month wipes out the entire $29 Starter difference.
- Use the 14-day free trial listed on the pricing page, which gives full feature access and requires payment details only if you subscribe. Create real jobs during it so the job-count question answers itself.

The bill moves only when your new job volume passes the plan's monthly job cap: 50, 150, 500 or 1500+ jobs respectively.
