That is what makes the small operator the worst-value customer.

The working on the discount: $245 × 0.85 = $208.25, rounded to $208. $382 × 0.85 = $324.70, rounded to $325. $627 × 0.85 = $532.95, rounded to $533. The advertised 15% holds to within a rounding cent on all three tiers. Expressed against the monthly-billing total, the realised saving is 15.10% on Starter, 14.92% on Plus and 14.99% on Pro.

What does it cost per technician as you grow?

Service Fusion states in its own FAQ that user count does not change price: one technician and one dispatcher pay the same as twenty technicians and a full office. That turns the plan fee into a fixed cost, and fixed costs divide.

Working for one row, so you can check the rest: Starter annual is $208 per month. At five users, $208 ÷ 5 = $41.60 per user per month. Twelve months of that is $499.20 per user per year, and 5 × $499.20 = $2,496, the full annual bill.

The shape of that column is the whole argument. A solo plumber pays twenty times per head what a twenty-person shop pays. Unlimited users is a discount you only collect by having users.

If your per-seat budget is fixed at roughly $26 a month, head count decides which tier you can afford, not the other way round.

Note the coincidence in the middle row. The Plus-to-Pro step, $2,496 a year, is the same figure as a whole year of Starter on annual billing. The practical reading for a budget-conscious plumber: below about $125,000 of annual revenue, Starter is eating 2% or more of everything you bill, before you have paid for a single add-on or a single card transaction. That is the point at which the fixed-cost structure starts to hurt.

Service Fusion’s pricing page publishes plan prices and feature lists and nothing else about money. The following are genuinely unknown and are deliberately absent from every table above.

  • Add-on prices. Job photo uploads, inventory management, job costing, custom documents, eSign documents, the customer web portal, progressive billing and recurring invoicing, ServiceCall.ai and GPS fleet tracking are all named as add-ons at one tier or another. Not one carries a published figure.
  • Payment processing rates. Integrated payments and payment processing appear in every plan’s feature list. No percentage, no per-transaction fee and no monthly gateway charge is published. Any card-fee number you see quoted elsewhere for this product did not come from the vendor’s pricing page.
  • QuickBooks integration cost. Listed as included in all three plans. Whether a QuickBooks subscription is required separately is not addressed.
  • Text messaging alert volumes. Text messaging alerts are listed in all plans and integrated voice and text in Plus and Pro. No message allowance, overage rate or telephony charge is stated.

When this estimate is wrong

Every table above assumes you buy a bare plan and nothing else. Concrete cases where the real number diverges:

  • You take card payments. Integrated payments is a core feature and its cost is a percentage of revenue, not a fixed fee. On any meaningful card volume, processing will exceed the subscription. A shop billing $250,000 a year through the platform will pay processing that dwarfs $2,496, and none of that rate is published.
  • You need GPS fleet tracking. It is an add-on at every tier including Pro, so it is an extra line on top of $6,396 a year even on the most expensive plan. Per-vehicle pricing is common in that category and would scale with your van count, unlike the base plan.
  • You are a one-person shop. The per-user table shows $208 per head per month. Almost any per-seat competitor priced under $208 a seat beats this at a head count of one. The unlimited-users model only pays off once you have people to spread it over.

Two things people get wrong about this pricing

“Unlimited users means it is cheap for a small shop.” It means the opposite. Unlimited users is a volume discount that only pays out at volume. At one user, Starter annual is $208 per user per month. At ten users it is $20.80. The same $2,496 buys a per-head cost that differs by a factor of ten across that range. A two-van plumber pays $104 per head per month for a product whose pricing was designed around shops paying a quarter of that.

“Take the annual plan, it saves 15%.” It saves 15%, and on Starter that is $444 a year, or $37 a month. What it costs is $2,496 in cash on the day you sign, against $245 for the first month of monthly billing. That is $2,251 of extra working capital committed up front to save $37 a month. Service Fusion also states there are no contract requirements, which is worth more on monthly billing than on annual, since annual has already collected the year. If you are unsure the software fits your workflow, the $444 is the price of the option to leave after two months.

What to check before you buy

Ask for these in writing, then come back and rebuild the tables above with real numbers.

  1. The card processing rate and per-transaction fee, plus any monthly gateway or statement charge.
  2. A line-item price for every add-on you would need on Starter. Compare the total against the $117 per month break-even for moving to Plus.
  3. Whether GPS fleet tracking is priced per vehicle, and what that does to your bill at your current van count.
  4. Whether text messaging alerts carry a volume cap and what the overage rate is.
  5. Whether the annual payment is refundable pro rata if you leave, given that no contract is required.
  6. Whether the QuickBooks integration works with the QuickBooks product you already pay for.
  7. Confirmation that the plan price quoted matches the published rate and is not a demo-only offer with different renewal terms.
