Billed annually they are Starter at $208 per month, Plus at $325 per month and Pro at $533 per month, each charged as a single annual payment at sign-up. Billed monthly the same tiers are $245, $382 and $627. The step from Starter to Pro costs $325 more per month on annual billing, or $3,900 a year.

What does each Service Fusion plan cost?

Six published prices, three tiers, two billing terms. Everything below comes from the Service Fusion pricing page as it stood on 25 August 2026. The annual column is stated as a per-month figure but charged as one payment at sign-up.

The working on the saving column, line by line:

  • Starter: $245 × 12 = $2,940. $208 × 12 = $2,496. $2,940 − $2,496 = $444. $444 ÷ $2,940 = 15.10%.
  • Plus: $382 × 12 = $4,584. $325 × 12 = $3,900. $4,584 − $3,900 = $684. $684 ÷ $4,584 = 14.92%.

The stated 15 percent discount is accurate to within a rounding step on all three tiers. Plus is the one that comes up slightly short, by $4 a year against a clean 15 percent.

Assumptions behind every figure on this page

  • Prices are the list prices published on the vendor pricing page on 25 August 2026, before any negotiated discount.
  • No add-ons are included. ServiceCall.ai and GPS fleet tracking are listed as add-ons on all three tiers with no price shown.
  • No payment processing charges are included, because the pricing page names integrated payments as a feature but does not publish a processing rate.
  • No sales tax is included. Software tax treatment varies by state.
  • “Per user” means the published plan price divided by headcount. The vendor does not sell seats; this is a derived figure and does not appear on the vendor’s page.

What does Service Fusion cost per user at your headcount?

Because users are unlimited, the per-user cost is entirely a function of how many people you put on the system. The vendor confirms this directly: the FAQ states that one technician and one dispatcher pay the same as 20 technicians and a full office. That makes the following table the number most readers are actually looking for. Find your headcount row and read across.

Worked example for the row most small HVAC shops sit on. Five users on Plus, annual billing: $325 ÷ 5 = $65.00 per user per month, or $780 per user per year. The same five users on Starter: $208 ÷ 5 = $41.60 per user per month. On Pro: $533 ÷ 5 = $106.60 per user per month.

The shape of this table is the whole commercial argument for unlimited-user pricing. At one user, Pro costs $533 per seat per month. At 30 users the same plan costs $17.77 per seat per month, a factor of 30 difference for identical software.

How do the two billing terms compare across headcount?

This is the second axis. Varying billing term and headcount together shows where the annual commitment matters and where it is noise. Figures are cost per user per month.

Two things fall out of this. First, the annual discount is worth more in absolute dollars than any headcount decision you can make, because headcount does not change the bill at all. Second, the per-user gap between billing terms shrinks to cents at high headcount, so at 50 users the choice between terms is $2 a month per person on Pro but still $1,128 a year for the business.

There is a cash-flow point the table does not show. The annual price is charged as one payment at sign-up, so Pro annual means finding $6,396 on day one rather than $627 a month. A business that would need to borrow at more than roughly 15 percent to cover that lump sum is not saving anything by paying annually.

The step-up cost is the number to weigh against the features each tier adds.

What each step buys, taken from the feature lists on the pricing page:

  • Starter to Plus adds job photo uploads, inventory management, job costing, and integrated voice and text. On Starter, job photo uploads, inventory management and job costing are listed as add-ons.
  • Plus to Pro adds open API integration, custom documents, eSign documents, customer web portal, and progress billing and recurring invoicing. On Plus, the last four are listed as add-ons.
  • On all three tiers, ServiceCall.ai and GPS fleet tracking remain add-ons.

Because the vendor does not publish add-on prices, you cannot work out whether buying add-ons on Starter beats moving to Plus. That is the single most useful calculation on this page that cannot be done from published figures. If you are choosing between the two routes, the add-on quote is the number to ask for first.

Multi-year cost: what does staying on each tier add up to?

The vendor states there are no contract requirements, so nothing locks you in past the term you pay for. Even so, software costs compound quietly. This table assumes list prices hold, which is an assumption and not a promise.

Over five years, choosing annual billing on Pro rather than monthly keeps $5,640 in the business ($37,620 − $31,980). That is $1,128 × 5. Over the same five years, the gap between Starter annual and Pro annual is $19,500 ($31,980 − $12,480).

Reverse calculation: how many jobs pay for each plan?

Turn the question around. Rather than asking what the software costs, ask how much extra work it has to unlock to pay for itself. This table divides the annual cost by gross margin per job, rounding up to whole jobs, because a fraction of a job is not billable.

The working for one row: Pro at $6,396 a year, $300 gross margin per job. $6,396 ÷ $300 = 21.32, rounded up to 22 jobs. Spread over 12 months that is under two extra jobs a month.

Converted to a monthly figure, Starter annual needs $208 of gross margin a month to break even, Plus needs $325 and Pro needs $533. For an HVAC business running a single van at $300 margin per job, that is a shade under one extra job a month for Starter and under two for Pro.

When is this estimate wrong?

Every figure above is list price arithmetic. It stops being right in these cases.

  • Add-ons are bought. ServiceCall.ai and GPS fleet tracking are add-ons on every tier and have no published price. A Starter plan with three add-ons could cost more than Plus, and nothing on the published page lets you check that.
  • Payment processing volume is significant. The pricing page names integrated payments and payment processing as included features but publishes no rate. If you run $80,000 a month through the system, the processing rate will dwarf the difference between tiers. Ask for the rate in writing before comparing tiers on subscription price alone.
  • A discount is negotiated. These are list prices. Sales contact details are published on the pricing page, which usually means list price is a starting point.
  • The price changes. Verified 25 August 2026 only. Vendor pricing pages change without notice and without a changelog.
  • Sales tax applies. Software subscriptions are taxable in some states and not others. The published prices do not include tax.
  • You cancel mid-year on annual billing. The annual price is charged as one payment at sign-up. The page states no contract requirements but does not state a refund policy for the unused part of a prepaid year.
  • Your headcount is one. At a single user, the per-user table is the plan price. Unlimited users is worth nothing to a sole operator, and the whole pricing model is designed for the opposite case.

Two things people get wrong about this pricing

“The cheaper tier is cheaper per user.” It is cheaper in absolute terms, but per-user cost is set by headcount, not by tier. Pro at 20 users costs $26.65 per user per month. Starter at two users costs $104.00 per user per month. The company on the top tier is paying a quarter as much per person as the company on the bottom tier. If you are comparing Service Fusion against a per-seat competitor, the tier you pick matters far less than how many people you plan to put on it.

“Monthly billing is only slightly more expensive.” On a per-month view the gaps look small: $37 on Starter, $57 on Plus, $94 on Pro. Annualised they are $444, $684 and $1,128. On Pro that is 17.6 percent added to the annual-billed cost ($1,128 ÷ $6,396), not 15 percent. The 15 percent figure is the discount off monthly, not the premium over annual, and those are different denominators. Both numbers are correct; they answer different questions.

What could not be verified

  • Add-on prices. ServiceCall.ai and GPS fleet tracking are named as add-ons on all three tiers with no price published. Job photo uploads, inventory management, job costing, custom documents, eSign documents, customer web portal and progressive billing are add-ons on the lower tiers, also without published prices.
  • Payment processing rates. No percentage or per-transaction fee is published.

What to check before you buy

  1. Get the add-on price list in writing, then rerun the Starter-plus-add-ons total against the flat Plus price of $325 per month on annual billing.
  2. Ask for the payment processing rate as a percentage plus any per-transaction fee, and multiply it by your actual monthly card volume. That number will often exceed the tier difference.
  3. Confirm whether the $208, $325 and $533 annual figures are locked for renewal or only for the first term.
  4. Confirm what happens to a prepaid annual plan if you cancel in month four.
  5. Confirm that personalised onboarding carries no separate charge.
  6. Count the people who will actually log in, including office staff, and divide the plan price by that number before comparing against any per-seat product.
  7. Check whether open API integration, which appears only on Pro, is needed for any accounting or payroll link you rely on, because that single feature is the $208 per month gap between Plus and Pro.
